Description of Service
Talemo is a work system for small service businesses: clients, bookings, the team and the money in one place, with an AI assistant that does routine work on request. It works in the browser and in AI programs you connect to it, such as Claude or ChatGPT. You pay for what you use, in credits; there is no subscription and no fee per seat.
Accounts
Your account
Your account works in the web and in the AI programs you connect. You sign in with Google, Apple, or your email address with a password or a one-time code. Keep your sign-in to yourself: you are responsible for what happens under your account. If a letter about a new sign-in was not about you, press “It wasn’t me” in it — this signs the account out everywhere, disconnects programs and revokes business keys — and tell us at panic@talemo.app.
Organizations, businesses and branches
Work in Talemo is organized in three levels. An organization is the one who pays — a company or a person paying as an individual. It holds the payment methods and invoices and has one or more businesses. Each business has at least one branch; the branch keeps the address and the time zone. Businesses of one organization do not see each other: each has its own clients, team, assistant and balance.
Owners, roles and rights
The owner of an organization manages its businesses, team and money. People in a business work with the role and rights the owner gives them, within the branches they were given. Only the owner and those the owner allows can see or manage money.
Credits and Payment
Credits and packages
Talemo is paid for with credits. One credit equals one US cent. Credits are sold in packages of 1,000, 2,500, 5,000 and 10,000 credits. Purchases are processed by Polar, which acts as the merchant of record: Polar’s terms apply to the purchase, and Polar collects and remits taxes where required.
Balances
Each business has its own balance. The organization has a remainder that no business has used yet: a new business opens from it with at least 1,000 credits, and the owner can move credits from it to a business. A top-up goes to the business or to the remainder that the owner chose when paying.
What is charged
- AI work — the assistant, automations that use a model, our agents called from connected programs — at the actual price of the model provider plus our margin, as it is used.
- Storage and processing of everything we keep and run for the organization, once a day for the day before.
The owner can set a monthly limit on AI spending for a business. Prices may change; a change applies to use after it takes effect, never to credits already spent.
The reserve and blocks
- Reserve. Each business keeps a reserve for its storage and processing: our forecast of what 30 days of them will cost, and never less than 100 credits. AI can spend the balance above the reserve.
- Soft block. When the balance comes down to the reserve, all AI in the business stops, and so do outgoing messages we pay for per piece, such as email mailings. Everything else keeps working, and people’s replies to clients still go out. A top-up lifts the block.
- Hard block. When the reserve is used up too, the business is closed to its people and nothing works except storing its data. Storage is still charged and the balance goes below zero; we lend these days. A top-up first repays what is below zero.
- Closing. After five days of hard block the business is closed and its data moves to our archive. For 30 days it can be restored after a top-up; restoring takes a few minutes.
We send the owners a letter at each step.
Refunds
Our service is access to Talemo, and it is provided as soon as the credits are added. Credits are therefore not refundable. A payment made by mistake, from which nothing has been spent yet, is refunded on request to support. The unspent credits of a closed business return to the organization’s remainder. The remainder is never paid out in money; it is lost when the organization is deleted — by its owner or after a year without any activity in it.
Chargebacks and fraud
We may hold balances or suspend access while we look into a suspected fraud or a chargeback.
WhatsApp fees
If a business connects WhatsApp, Meta charges its fees to the business directly. They do not go through the Talemo balance.
Closing and Deleting
- Closing a business. The owner can close a business after signing in again and typing its name. Access closes for everyone at once, the business’s unspent credits go to the organization’s remainder, and its data moves to the archive. It can be restored within 30 days.
- Deleting an organization. An organization can be deleted only when it has no open businesses, or together with all of them in one step. Its remainder is lost, and its closed businesses can no longer be restored.
- Deleting your account. Your account is deleted 30 days after you ask; signing in during those days cancels it. The only owner of an organization with an open business has to close the business or hand over ownership first.
How long we keep data after closing and deletion is described in our Privacy Policy; step-by-step instructions are on Data Deletion.
Your Content and the Assistant’s Work
Ownership
The records a business keeps in Talemo, and what the assistant creates for it, belong to the organization that runs the business.
License to operate the Service
You grant us a limited, non-exclusive, worldwide, royalty-free license to host, process, transmit and display this content only to operate, maintain and secure the Service and to keep the archive described in the Privacy Policy.
The assistant can be wrong
The assistant acts only within the rights of the person who asked it, and its words are marked as its own. It can make mistakes. You remain responsible for what your business sends to clients and for the decisions you make with the assistant’s help.
Your responsibilities
You confirm that you have the right and a lawful basis to keep and process the data you bring into Talemo, including your clients’ data, and that you do not submit unlawful, harmful or infringing material. This includes the data you export from Talemo: once downloaded, it is in your hands and under your responsibility.
Connected Programs and Keys
You can connect outside AI programs, such as Claude or ChatGPT, and create business keys for programs on your computer. They act on your behalf, only in the businesses you allowed and within your rights, and you are responsible for what they do there. A business key is shown once and works for 30, 90 or 365 days; it stops working earlier if you revoke it or if the person who created it leaves the business. What a program’s provider does with the data it receives is governed by that provider’s terms.
Support Access
Our support team enters a business only when a person in it grants access in the product, and everyone in the business sees that support is inside. In exceptional cases — legal requirements, fraud, abuse or a threat to security — we may access a business without asking; such access needs a stated reason and is written to our internal log.
Messaging Channels
A business can connect WhatsApp, Instagram or Messenger. When it does:
- the business is the controller of its clients’ data and is responsible for having a lawful basis, and any consent the law requires, to message them;
- it must honor opt-out and stop requests promptly;
- it must not use Talemo for unsolicited messages, cold outreach, bought or scraped contact lists, or spam, and must not misrepresent who is writing;
- it must follow the terms and policies of each platform — for Meta channels, the Meta Platform Terms, the WhatsApp Business Terms of Service and Business Messaging Policy, and the Instagram and Messenger platform policies;
- the same rules apply to replies written with the assistant’s help as to replies written by people;
- it must tell its clients how it handles their data.
The Online Admin
When a business turns on the online admin, it answers the business’s clients on the business’s behalf, within the rules and knowledge the business gave it.
- The business chooses where it answers by itself, where it only prepares drafts, and where it is off, and it can take over any conversation.
- The online admin tells clients that it is AI, at the start of a conversation and in the other cases described in our Privacy Policy. The business may reword this message but not remove it or hide it.
- It books and moves visits by the business’s rules; cancellations are left to people.
- The business is responsible for what the online admin says on its behalf, as for its own replies, and for keeping its knowledge accurate. Check what matters: the online admin can be wrong.
Visit Confirmations and Reminders
If a business turns on confirmations and reminders, Talemo sends them to its clients by the branch’s rules. The business confirms that its clients expect these messages and, where WhatsApp or the law requires it, have agreed to receive them. Message templates are submitted to Meta on the business’s behalf, and Meta may approve, reject or restrict them; Meta’s fees for WhatsApp messages are charged to the business directly.
Acceptable Use
You agree not to: engage in unlawful activity; attempt unauthorized access; interfere with or disrupt the Service; compromise its integrity or security; circumvent limits or safeguards; submit malware or spam; misrepresent identity or affiliation; or otherwise use the Service in a way that poses unreasonable risk to us or others.
Service Changes
We may add, change or remove features for all users or for some of them. Features marked as experimental are provided as they are and may change or be withdrawn.
Suspension and Termination
We may suspend or restrict access promptly if we reasonably believe there is a breach of these Terms, a risk to the Service or other users, or suspected fraud or abuse. We will tell the organization’s owners without undue delay where reasonable, and may restore access once the issue is resolved. If a breach is not cured within a reasonable period after notice, or cannot be cured, we may terminate access to the affected accounts, businesses or organizations. You may stop using the Service at any time; charges for use before that remain due.
Warranties and Disclaimers
The Service is provided “as is” and “as available.” To the fullest extent permitted by law, we disclaim all warranties, express or implied, including merchantability, fitness for a particular purpose and non-infringement.
Limitation of Liability
To the fullest extent permitted by law, we and our suppliers and licensors will not be liable for indirect, incidental, special, consequential, exemplary or punitive damages, or for lost profits, revenue, data or goodwill.
Changes to These Terms
We may update these Terms. The new version is posted on this page with a new “Last updated” date.
